about the role

RESPONSIBILITIES

  • Answering phone calls, emails, taking messages, and managing incoming and outgoing correspondence.

  • Scheduling and coordinating meetings.

  • Welcoming clients/partners and arranging refreshments.

  • Providing support to the Management in Office operations.

  • Recording expenses and coordinating with the Office Accounting Department.

  • Preparing, printing, and photocopying documents.

  • Filing folders and documents.

  • Maintaining, recording, updating, organizing, and managing physical and electronic files and databases.

  • Drafting and sending letters and correspondence.

  • Sending documents via courier.

  • Recording and forwarding client messages to colleagues.

  • Receiving instructions regarding client business cards and filing them.

  • Organizing, coordinating, and ensuring the smooth operation and maintenance of the Office, equipment, and facilities

  • Visiting, attending, and representing clients at Public, State, Government, Municipal, or Local Services and Departments across all regions for completing procedures or representation.

  • Communicating and coordinating with external partners.

  • Maintaining cleanliness and organization of the Office.

  • Managing consumable stock and placing orders for food, stationery, and other supplies.

basic information:

REQUIREMENTS

  • Degree in Secretarial Studies or equivalent experience in a secretarial role, office administration, or a similar position.

  • Excellent command of Greek and English, both written and spoken.

  • Strong computer skills and proficiency with office software.

  • Ability to organize and maintain both electronic and physical files, documents, and data.

  • Strong organizational skills, ability to work under pressure, attention to detail, and ability to meet deadlines.

  • Excellent communication and client/partner service skills, demonstrating courtesy and patience.

  • Integrity and professionalism.

  • Relevant knowledge and experience to perform and execute the duties described above
