Reservations Agent in Paphos

DESCRIPTION

We are partnering with a well-established organisation based in Paphos and we are currently seeking a Reservations Agent to join their team.

The Reservations Agent is responsible for managing daily guest bookings and communications across multiple properties within a centralised reservations function. The role requires accurate processing of reservations, professional guest support, and effective collaboration with the Reservations Manager(s) and other relevant departments.

RESPONSIBILITIES

  • Respond to reservation enquiries received by telephone, email, and online platforms in a timely and professional manner
  • Accurately create, amend, and cancel reservations within the booking system
  • Ensure that guest details, special requests, and payment information are recorded correctly
  • Promote room upgrades, additional services, and hotel facilities to support revenue growth
  • Follow established procedures regarding booking processing, corrections, deposits, and guest communication
  • Coordinate with the Front Office team regarding guest requests, VIP guests, upgrades, and special arrangements
  • Assist with room allocation, rate verification, and inventory updates when required
  • Support group reservations by creating room blocks, updating booking pickup, and preparing rooming lists, as assigned by the Reservations Manager
  • Assist other team members when necessary, under the guidance of the Reservations Manager or Head of Department
  • Ensure that all emails and outstanding tasks are completed within the required deadlines
  • Maintain up-to-date knowledge of room categories, packages, hotel facilities, and current promotions
  • Maintain a professional working relationship and environment at all times

basic information:

REQUIREMENTS

  • A minimum of two years of experience in hotel reservations, front office operations, or customer service
  • Familiarity with Property Management Systems and Central Reservation Systems, together with a good working knowledge of Microsoft Office
  • Strong communication abilities and excellent attention to detail
  • Ability to manage multiple requests while maintaining accuracy in a fast-paced and demanding environment
  • Proficiency in English is required, while knowledge of additional languages will be considered a significant advantage.
